Frequently Asked Questions

Answers about the product, accounts and pricing, templates, privacy, and clinical responsibility.

Getting started

Yes. The free plan includes all features and three generations per day, with up to 24-hour retention and no commitment. You create an account with BankID or BuyPass, and you can stay on the free plan or upgrade from your account page when your needs change.

Choose “Create account”. You are taken directly to MediVox and identify yourself with BankID or BuyPass. No contact form is required.

Yes. MediVox runs in the browser on computers, tablets, and phones, with no separate installation.

No. You need no additional software or installation, and MediVox runs in the browser. The microphone still matters, because audio quality affects the transcription. If you move around during the consultation, as a physiotherapist or chiropractor does, we recommend a good wireless microphone.

You can book a demo from the contact page and get a walkthrough of the whole solution or of the features you want to know more about. If your organization is adopting MediVox, contact us to plan the rollout.

Pricing and subscription

MediVox Gratis is NOK 0. With a 12-month agreement, Light is NOK 299 and Standard is NOK 599 per month. Without commitment, the prices are NOK 349 and NOK 649. VAT is included. Enterprise is priced on request.

Yes. Every price we show includes VAT. The price you see is the price you pay.

No. The free plan has no commitment, and Light and Standard can be chosen without commitment and cancelled at any time. A 12-month agreement gives you a lower monthly price, and its terms then apply for the agreement period.

You choose a plan and pay from your account page in MediVox. You can pay by card or by invoice. Invoicing costs an additional fee of NOK 49 per month, VAT included.

No. The first payment covers only the remaining days of the current month. After that you pay the full monthly price.

The subscription is not renewed after cancellation. It runs to the end of the current month, so you keep access for the rest of that month. After that the account moves to the free plan, and you can keep going with three generations per day. With a 12-month agreement, its terms apply for the agreement period.

How MediVox works

MediVox transcribes a consultation or dictation and generates a structured clinical note. The healthcare professional always reviews and adjusts the note before it is used.

The difference is what is unlimited. With Light you can create as many simple clinical notes as you want, and you also get three generations per day of everything else – letters, certificates, meeting summaries, and the other features. The simple note does not use your own templates, but you can use templates within those three daily generations. Standard gives full access to every feature, with no daily quota. The tiers were previously called basic and advanced medical transcription.

When you start recording, the audio is sent encrypted from your microphone through the browser to an AI service that turns speech into text. The transcript appears as the recording runs, and you stop the recording when the consultation is over. The audio recording is not stored, and the transcript is stored on our own servers in Norway.

When the consultation is over, you stop the recording and press “Generate clinical note”. MediVox then creates a structured note based on the transcript, the template you chose, and any history or additional information you added. You review the note, adjust what you want to change, and approve it before transferring it to the record system according to your organization’s procedures.

Yes, both. In a digital consultation you have the patient in a video meeting, for example in Teams, and you share the system audio when you start recording. The conversation is then transcribed just as it is when the patient is in the room. Sharing system audio is tested in Chrome, Edge and Firefox.

If something did not come across clearly in the consultation, you can add it under “Additional information” before you generate the clinical note. Words and phrases the transcript is unsure about are marked in the text, so you can easily check and correct them. You always review and approve the note before it is used.

Poor transcription is usually caused by poor audio. Try reducing background noise, moving the microphone closer, or using a different microphone. If you move around the patient, a good wireless microphone is often what helps most. If that does not help, contact support and we will work it out together.

Templates and specialties

The template controls how the clinical note is structured and what each section should contain. Everyone starts with the “Standard medical record” template, which suits most consultations. If you want templates adapted to your specialty, your case mix or your workflow, you build them in the template generator and pick the template before generating the note.

Yes. You start with “Standard medical record”, and if you need something else, you build your own templates in the template generator under “My templates” in the user menu. We recommend making your own – that way the clinical note comes out the way you want it. Standard gives full access. With Light, the simple clinical note does not use your own templates, but you can use templates within the three daily generations.

Privacy and data security

Yes. Patient data is stored on our own servers in Norway. That is our own infrastructure, not rented cloud storage. The transcription itself and the generation of the clinical note are done by an AI service from OpenAI, and that processing takes place in the EU. We have a zero data retention agreement with OpenAI, which means the data is not stored with them and is not used to train models. The data processing agreement lists the subprocessors we use.

No. MediVox does not use patient or user data to train AI models. That also covers the AI service that does the transcription and generation: we have a zero data retention agreement with OpenAI, and the processing takes place in the EU. The data is not stored with OpenAI and is not used for training. Patient information is processed only to deliver the service, according to the instructions in the data processing agreement.

The audio recording is not stored. The transcript and the generated clinical note are retained for up to 24 hours, so you can return to the consultation later the same day. Retention beyond that follows the selected service and agreement.

For patient information, the healthcare provider is the data controller and MediVox is the data processor, processing it under the data processing agreement. For account, customer, and website information, MediVox is the data controller.

Yes. For patient information, MediVox is the data processor and processes it under the data processing agreement. The agreement is made available in the service, or entered into directly with the organization.

Yes. The organization must clarify the legal basis, patient information, data processing agreement, risk assessment, access, and clinical review procedures.

Yes. MediVox Helse is CE marked as medical software. CE marking should not be confused with a general security certification.

Clinical responsibility and quality

No. MediVox is a tool for transcription and documentation, and makes no clinical assessments or decisions. The healthcare professional and the organization hold the clinical responsibility, and the healthcare professional reviews and approves the content before it is used.

No. You remain responsible for clinical quality, approving the clinical note, and transferring it to the organization’s record system according to local procedures.
